1. About This Notice

Little Whole Me LLC ("Little Whole Me," "we," "us," or "our") respects the privacy of individuals who apply for employment, independent contractor, temporary, on-call, caregiver, placement, internship, or other professional opportunities with us.

This Applicant Privacy Notice explains how we collect, use, disclose, retain, and protect personal information during our recruiting, screening, matching, and hiring processes.

This Notice applies to information submitted through our careers application, by email, during interviews, through professional referrals, or through other recruiting channels. It does not create an employment or contractor agreement, guarantee placement, or change the at-will nature of any employment relationship where applicable.

2. Information We Collect

Depending on the opportunity and stage of the process, we may collect the following categories of information:

• Contact and identifying information, including your name, email address, phone number, city or general service area, and other information used to communicate with you.
• Work eligibility and logistics information, including your response regarding U.S. work authorization, travel range, transportation, willingness to relocate, desired role, preferred schedule, shift availability, employment preferences, and earliest start date.
• Professional and experience information, including work history, years of experience, caregiving specialties, age groups served, experience with multiples, prior families or agencies, education, training, certifications, professional licenses, license numbers, skills, and desired compensation or hourly rate.
• Application materials and responses, including your resume, portfolio or professional links, written statements, interview responses, assessments, notes created during the selection process, and information about how you heard about us.
• Reference information, including the names and contact details of professional references and information those references, former employers, agencies, or other professional contacts provide about you.
• Screening and verification information, if you advance in the process, including credential verification, identity and work-authorization documents, driving information when relevant to the role, and background-screening information obtained only after any disclosure, authorization, or consent required by law.
• Onboarding information, if an offer is made or accepted, including information needed for contracts, personnel records, payroll, tax reporting, scheduling, insurance, emergency contacts, and compliance.
• Technical and security information, which may be collected automatically by our website, hosting, form-processing, email, and security providers, such as Internet Protocol address, browser or device information, submission time, and anti-spam or security logs.
• Other information you voluntarily provide that is relevant to your application. Please do not include medical, disability, financial, government-identification, or other highly sensitive information in the public application form. Please do not submit Social Security numbers, banking information, copies of government identification, medical records, tax documents, background reports, or other highly sensitive information through the public careers form unless Little Whole Me specifically requests the information through an appropriate secure process.

3. Sources of Applicant Information

We may collect applicant information directly from you and, as appropriate, from professional references, former employers or agencies, internal or professional referrals, publicly available professional sources, credentialing or licensing sources, background-screening providers, and service providers that support our recruiting and technology systems.

4. How We Use Applicant Information

We may use applicant information to:

• Receive, organize, review, and evaluate applications.
• Communicate with you about your application, interviews, opportunities, scheduling, and next steps.
• Assess qualifications, experience, availability, credentials, professional fit, and suitability for specific roles or family placements.
• Conduct interviews, contact references, verify credentials, and complete lawful screening activities.
• Develop candidate profiles and, for candidates who advance to family matching or placement, share limited and relevant professional information with prospective client families as appropriate.
• Make hiring, contracting, assignment, placement, scheduling, compensation, and onboarding decisions.
• Maintain recruiting records, evaluate staffing needs, and consider candidates for future opportunities.
• Protect applicants, families, children, team members, and Little Whole Me; prevent fraud or misuse; and maintain the security of our website and systems.
• Comply with legal, regulatory, licensing, insurance, contractual, recordkeeping, and reporting obligations.
• Establish, exercise, or defend legal rights and respond to lawful requests, disputes, audits, investigations, or claims.
• Review and improve our recruiting, onboarding, and workforce-planning processes.

Little Whole Me does not sell applicant personal information or share it for cross-context behavioral advertising. We do not use applicant information for unrelated consumer marketing without an appropriate basis or permission.

5. How We May Disclose Applicant Information

We may disclose applicant information only as reasonably necessary for the purposes described in this Notice, including to:

• Authorized Little Whole Me leaders, hiring personnel, and team members who need the information to perform recruiting, screening, matching, onboarding, legal, finance, or operational responsibilities.
• Service providers that support website hosting, form processing, email, cloud storage, recruiting, credential verification, background screening, information technology, security, payroll, onboarding, legal, insurance, accounting, or professional advisory functions. These providers may use the information only as permitted by their agreements and applicable law.
• Professional references, former employers, agencies, credentialing bodies, or licensing authorities when we seek to verify information or qualifications.
• Prospective client families when a candidate advances to family matching or placement. We share only limited professional profile information relevant to the proposed match. We may share confirmation that required screening has been completed or a general eligibility status, but we do not provide the underlying background report, reference contact details, government identifiers, tax information, medical information, internal interview notes, or other highly sensitive records unless authorized by the applicant or required by law.
• Government agencies, regulators, courts, law enforcement, insurers, or other parties when disclosure is required or permitted by law or reasonably necessary to protect rights, safety, or security.
• A successor or potential successor in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, subject to appropriate confidentiality and legal protections.

6. Professional References

When you provide another person's contact information as a reference, you confirm that you are authorized to provide that information and that the person understands Little Whole Me may contact them about your professional experience and suitability.

Please do not provide personal or sensitive information about a reference that is not necessary for the reference process.

7. Background Checks and Other Screening

The careers application may ask whether you are willing to complete a background check. Your response to that question does not authorize Little Whole Me or a third party to obtain a background report.

If Little Whole Me decides to obtain a consumer report or other third-party background screening for employment or contracting purposes, we will provide any separate disclosure, authorization, consent, and pre-adverse or adverse action notices required by applicable law.

Background reports and related information will be handled and disposed of in accordance with applicable law and our security procedures.

8. Data Security

Little Whole Me uses reasonable administrative, technical, and physical safeguards designed to protect applicant information from unauthorized access, use, alteration, disclosure, or destruction.

These safeguards may include access restrictions, password protection, multi-factor authentication, secure cloud systems, staff confidentiality expectations, and secure disposal practices.

No method of transmission or storage is completely secure. Applicants should use care when sending personal information by email or saving copies of application materials on personal or shared devices. Little Whole Me is not responsible for the security of an applicant's personal device, email account, or independently stored copy.

9. How Long We Retain Applicant Information

For applicants who are not hired or engaged, Little Whole Me generally retains application and selection records for 18 months after the last recruiting activity or decision involving the applicant.

We may retain information longer when required by law, when a complaint, investigation, audit, claim, legal hold, or dispute is pending, when needed to protect safety or legal rights, or when you ask us to consider you for future opportunities.

If you are hired, contracted, assigned, or placed, relevant information may become part of your personnel, contractor, credential, placement, payroll, or compliance records and will be retained under applicable law and Little Whole Me's record-retention practices.

When information is no longer needed and no legal or legitimate business reason requires continued retention, we will take reasonable steps to delete, destroy, anonymize, or securely dispose of it.

10. Your Choices and Requests

You may contact us to withdraw your application, update or correct information, request a copy of information you submitted, ask not to be considered for future opportunities, or request deletion of applicant information.

We will review requests in accordance with applicable law and may need to verify your identity.

Some requests may be limited or denied when we must retain information to meet legal or recordkeeping obligations, complete an active recruitment process, protect safety, preserve legal rights, maintain confidential reference or assessment information, or comply with a legal hold or other legitimate requirement.

11. Applicants in Other Jurisdictions

Additional or different privacy rights may apply depending on where you live, where the role is located, and the laws that apply to Little Whole Me.

We will provide supplemental notices or honor additional rights when required by applicable law.

12. Changes to This Notice

We may update this Applicant Privacy Notice to reflect changes in our recruiting practices, technology, services, or legal obligations.

The updated version will be posted on this page with a revised effective or last-updated date. Material changes will apply prospectively unless otherwise permitted or required by law.
